Updated Streamlyne Launch Date

Please be aware that we are pushing the original July 5, 2023, launch date for the Streamlyne Proposal Development system to August 1, 2023.  This is a joint decision of OSPA, OIC-OIPTT and the ISU Foundation.

As many of you know, our first step in the Streamlyne Proposal Development (PD) Implementation was a pilot that began May 15, 2023. The pilot progressed more slowly than expected, and some outstanding items still need to be addressed before we feel comfortable moving into full implementation.  None of this dampens our enthusiasm and excitement about moving forward with a new system that will improve quality of proposals and provides an enhanced user experience for Iowa State University faculty and staff.

Please review the Cutover Calendar carefully.  Please note that we are moving forward with our proposal submission process and deadline changes.  These will start on July 5, 2023, as planned, regardless of whether a proposal is routed using a GoldSheet or a Streamlyne PD document.

Change is Coming: GoldSheet and Cardinal Sheet will be Sunsetted in June 2023

After 20+ years of service to Iowa State, the GoldSheet and Cardinal Sheet will be discontinued in June of 2023.  These internal routing forms and related systems will be replaced with Streamlyne, an enhanced “one-stop shop” proposal development and routing system that will offer campus research faculty and administrators an abundance of new features and functionalities.

With Streamlyne:

• Former processes will be enhanced
• Sponsored programs and gifts will be in one system
• Budget development will include salary integration
• Requests for NDAs and MTAs will be initiated
• A dashboard will provide process visibility at all submission stages
• A system-to-system (S2S) portal for grants.gov will remove duplicate entry

Introductory demonstrations will be held starting in December 2022 and user training will begin in Spring 2023.  Additional details and registration openings will be announced in the coming weeks.

GoldSheet - Streamlyne Cutover Calendar - Updated 6/15/23

***Important Dates***

GoldSheet, Cardinal Sheet and Cayuse Retirement Dates:

1. 7/5/23 – Start date of firm 8 working day GoldSheet deadline ahead of sponsor deadline. GoldSheets arriving in OSPA 7 or less working days before sponsor deadline will need AVPR approval to proceed. (e.g.  A proposal with a 7/17/23 sponsor deadline would need to be in OSPA by 7/5/23 to meet the 8 working day deadline.)
2. 7/28/23 - Last day a GoldSheet can be initiated in the GoldSheet system.
3. 7/28/23 – Last day a GoldSheet can be routed for approvals in the GoldSheet system.
4. 7/28/23 – Deadline date for a GoldSheet in the GoldSheet system to be fully routed (approved by all ISU parties except OSPA) and in the OSPA work queue.
5. 8/9/23 – Last day a Grants.gov proposal can be submitted using Cayuse.  The above GoldSheet deadline dates would also need to be followed for a Cayuse submission.  Proposals with a Sponsor deadline date of 8/10/23 or after must be submitted using Streamlyne.
6. 8/9/23 – Deadline date for OSPA approval of all GoldSheets in the GoldSheet system.
7. 8/15/23 – Deadline date for OSPA completion of all KC IP edits for GoldSheets.

Note:  Above dates for GoldSheets also apply to Cardinal Sheets.

1. 5/15/23 - Streamlyne PD Pilot Go-Live date.
2. 7/5/23 – All Streamlyne campus users may initiate Proposals in Streamlyne PD.
3. 7/5/23 - Start date of firm 8 working day Streamlyne Initial Review submission deadline and 4 working day Streamlyne Workflow Routing deadline.
4. 8/1/23 - All ISU proposals must be initiated and entered into Streamlyne PD.

Combined Dates:

1. 5/15/23 - Streamlyne PD Pilot Go-Live date.
2. 7/5/23 – All Streamlyne campus users may initiate Proposals in Streamlyne PD.
